Built for Australian workshops — GST, pink slips, green slips, rego

Run your workshop, not your paperwork.

Scheduling, job cards, invoicing, parts, customer SMS and rego reminders — plus a mobile app your techs will actually use and a self-serve portal your customers run themselves. One system for every workshop in your business, from booking to paid.

The whole shop, on one screen

Seven things a workshop runs on every day — plus a portal your customers run themselves — done properly, and talking to each other.

Scheduling

A board that runs the floor

Technicians across the top, the day down the side — exactly like the whiteboard, except it books, confirms and texts people for you. When someone phones in, you can see real availability at a glance and answer on the spot.

  • Click an empty slot to book — new customer, car and notes captured in the same dialog
  • Drag to move or hand to another tech; drag the edges to stretch the job; double-book when you mean to
  • Right-click a booking for arrive, key tag, SMS, job card, propose-a-time, no-show
  • Dashed means not locked in: requested and proposed bookings look different to confirmed ones
  • Key-tag numbers, “customer in lounge” and a live “in shop 1h 12m” timer on every arrived car
  • Skills, rosters and per-tech daily capacity decide who gets offered the work

The tech’s mobile app

Every tech’s day, in their pocket

Techs open their phone and see exactly what the office sees: today’s cars, times, key-tag numbers and who’s sitting in the lounge. Everything they do in the bay lands on the job card — no walking to the front desk, no scraps of paper.

  • Arrive cars, tick off job-card sections, mark “done — ready for pickup”
  • Found something? Add it as a finding — with photos of the worn part
  • Log OBD2 fault codes and odometer readings straight onto the car
  • Send the customer an approval request by SMS from the bay — photos attached
  • Clock in, clock out and take breaks on the phone — live shift timers and weekly timesheets for the office
Get the tech app:

The Android app installs directly from the APK — tap the file and allow “install from this source” when your phone asks. Techs sign in with the same email and password as the office; iOS is coming to the App Store, and everything the app does also works at your workshop’s web address on any phone.

Jobs & money

From booking to paid, without re-typing

One click turns a booking into a job card. Templates fill the standard lines. The invoice is GST-correct, sent by SMS or email, and synced to Xero. Nothing gets typed twice, so nothing gets missed.

  • Service templates: narrative + standard parts/labour, priced once, applied in one tap
  • Extra work approved by SMS (“Reply YES”) — with photo evidence, recorded against the job
  • Discounts, partial payments and a debtors report that chases the stragglers
  • Public invoice link — customers view, download and pay without logging in
  • Photos from the workshop floor attach straight to the job and the invoice

Customer communication

Every touch, logged. Even the phone calls.

SMS and email from any customer page, call logging for the front desk, and automatic reminders — one timeline shows everything anyone ever sent, so “did anyone tell the customer?” has an answer.

  • Can’t do the requested time? Propose another — the customer accepts or declines from a link, and the board updates itself
  • Booking confirmations, service-due and rego reminders sent automatically — once, not five times
  • Log calls and notes in seconds; see who said what, when
  • Search any name, rego or make/model from any screen — history, next booking, or log a call
  • Staff message each other in-app — no more paper notes on the bench

Customer portal

Your customers, keeping their own cars in order

A self-serve portal customers actually want to open. They add their cars, watch service, rego, green-slip and insurance dates, keep policies and documents in one place, and book with you — so the details stay current without your front desk re-typing them.

  • Every car on a card with its photo, odometer and a colour-coded “needs attention” list — service, rego, green slip and insurance
  • Customers track their own insurance — insurer, renewal date, premium, excess — and upload the policy documents
  • Reminders by SMS and email before anything lapses, each one logged on the customer’s timeline
  • Book a service against your real availability, view and pay invoices, and update their own contact details
  • New customers find you in the workshop directory and sign themselves up — their cars land in your system, ready to book

Vehicle history

The car’s whole life, on one timeline

Open any car and scroll its story: every repair with what it cost, every odometer reading, every OBD2 scan, every photo, every SMS and phone call — newest first. The next tech knows in ten seconds what took the last one a phone call to find out.

  • Repairs with totals, the issues the customer reported, and inspection results
  • Odometer readings and OBD2 fault codes logged from the bay, kept forever
  • Every conversation — SMS, email, calls — with who sent it and when
  • Next service due, and the recommended interval vs what the car actually does
  • Rego, green-slip and safety-check dates with overdue flags

Built for Australia

Rego, pink slips and green slips — handled

Track registration, CTP and safety-inspection dates per vehicle. AutoCare-Plus reminds the owner to book their inspection with you — recurring work on autopilot, instead of walking out the door to whoever texts first.

  • Automatic SMS ~6 weeks before rego expiry, once per cycle — never spammy
  • The due list shows who’s been reminded and who’s already booked
  • “Book inspection” pre-fills the customer, car and pink slip in one click
  • GST invoices and BAS-friendly reporting out of the box

And everything around it

No modules to buy, no add-on tiers — one subscription includes the lot.

Insurance tracking

Customers keep each policy — insurer, renewal date, premium, excess and documents — and get a heads-up before cover lapses.

Vehicle photos

A profile photo on every car — added by your team or the customer — shown on the card, the portal and the job.

Self-serve signup

New customers find your workshop in the directory, create their own login and add their cars — no data entry for you.

Parts & stock

Stock levels, reorder alerts, suppliers — and parts straight onto job cards at the right price.

Shift time clock

Techs clock in and out and take breaks on their phone — live shift timers and weekly timesheets for the office.

Search everything

Type a name, a rego or “Ranger” from any screen — jump to history, book them in, or log the call.

Photo evidence

Snap the worn part in the bay; the photo lands on the finding, the approval SMS and the invoice.

OBD2 scans

Fault codes logged against the car in two taps — on the timeline forever, gold for the next diagnosis.

Key tags

Every arrived car gets a lock-box tag number automatically — written on the board and the tech’s phone.

Automatic reminders

Booking confirmations, service-due and rego reminders send themselves — once per cycle, every one logged.

Staff messaging

Office-to-floor messages with unread badges — the quote question beats the tech to the lunch room.

Reports

Sales, GST, discounts, debtors, service-due and rego pipelines — the numbers your accountant asks for.

Multi-workshop

Run every site under one login with per-workshop boards, rosters, catalogues and billing.

Xero & Stripe

Invoices and payments sync to Xero; your subscription and metered usage bill through Stripe.

Questions workshops ask us

How does the free month work?

Sign up and everything is unlocked for 30 days — no card required. Add a card whenever you like; billing only starts when the trial ends, automatically.

What does it cost after the trial?

$400.00 per workshop per month, plus $1.50 per car serviced. SMS is billed per segment and email per message, at cost, on the same monthly invoice. Photo storage starts at 20 GB.

Do my customers need the app?

No — everything works in a browser. Customers get SMS and email links for invoices, booking confirmations and accept/decline time changes. The self-serve portal goes further: they add their cars (with photos), track service, rego, green-slip and insurance dates, store policy documents, book online, pay invoices and update their own details — and can sign themselves up by finding you in the workshop directory.

Does it work with Xero?

Yes — connect Xero in Settings and invoices, customers and payments sync across. No double entry, no rebuilt ledger.

Can my technicians use it in the workshop?

Yes — the mobile app shows each tech their day (times, cars, key tags, who’s waiting), and they work the whole job from the bay: tick off the job card, add findings with photos, log OBD2 codes and odometer readings, send SMS approval requests, and clock in and out of shifts and breaks.

What about my existing data?
